Organizing the department's staff meetings

List recurring staff meetings, keep the index of past talks, schedule the year's slots and spot topics never covered.

The problem

Echocardiography staff meeting, heart failure staff meeting, medical-surgical staff meeting, multidisciplinary team meeting, endocarditis team meeting: each has its own rhythm and organizer. Slots stay empty until the day before, and the same topics keep coming back.

Step-by-step method

  1. List the recurring staff meetings: name, frequency, day, participants, organizer, useful skill (talk, clinical case).
  2. Index past staff meetings over several years: date, topic, speaker, slides. This is the department’s memory.
  3. Spot the topics never covered using the index and recent guidelines: these are the best subjects.
  4. Schedule the semester: every slot, one speaker per slot, unfilled slots flagged at D-30.
  5. Link to the schedule: the Staff tab of the schedule displays the program; the speaker’s absences are surfaced.
  6. Staff meetings with an industry speaker: identified as such, with a declaration of interests and an independent counterpoint.
  7. Prepare each staff meeting with the Staff talk card.

Deliverable

A semester program of staff meetings, an index of topics, and no more uncovered slot left empty the day before.

Starter prompt

Here is the list of the department’s staff meetings and the history of topics presented. Build the program for next semester (slots, speakers to approach) and propose ten topics never covered.
